Terms, privacy and cookies.

These policies explain the rules for using GrokBackup, how annual subscriptions and trials work, and how the website, API and customer portal handle personal information.

Website Terms of Use

1. Scope and acceptance

These terms apply to grokbackup.com, the GrokBackup API, downloads, documentation, contact and newsletter forms, and the customer portal. By accessing these services, you agree to these terms. If you use GrokBackup for an organization, you confirm that you are authorized to act for that organization. Purchases and software use are also subject to the Subscription Terms.

2. Permitted use

You may use the website for lawful evaluation, purchasing, account management, support and product documentation. You may not attempt unauthorized access, bypass security or rate limits, introduce malicious code, disrupt availability, misuse forms or one-time tokens, extract restricted information, or infringe the rights of GrokBackup or another person.

3. Website content

Website copy, branding, graphics and documentation are owned by or licensed to GrokBackup and may not be reproduced or redistributed except as permitted by law or written permission. Product information is provided for general guidance. The current offer is shown on the Pricing page, and currently available packages are listed on the Download page.

4. Availability and changes

We may correct, update, suspend or remove website content, downloads or online functions when reasonably necessary. We do not promise that every website function will be continuously available or error-free. Material changes to these terms will be identified by the updated date above.

Subscription Terms

1. The product

GrokBackup is self-hosted software for backing up and restoring Google Workspace data to storage controlled by the customer. The GrokBackup website and API provide licensing, trial, subscription, payment and portal functions. In normal operation, backup content remains in the customer's deployment and is not uploaded to GrokBackup's website or licensing API.

2. Trial

The current trial provides up to 5 accounts for 21 days. Trial eligibility is checked using account and device identifiers, and a trial may be refused or ended where the eligibility rules are not met or the service is abused. Trial access expires automatically unless it is converted to a paid subscription. Converting a trial starts a new annual paid term for all selected accounts.

3. Plans, prices and payment

Paid plans are billed annually in US dollars for each licensed Google Workspace account. Current Business and Non-profit prices are published on the Pricing page. The price and quantity displayed in Stripe Checkout before confirmation govern an order. Stripe processes card and payment details; GrokBackup does not store full card numbers or card security codes.

4. Renewal and cancellation

Paid subscriptions renew for successive annual terms unless cancelled. You can schedule cancellation for an active Stripe subscription in the customer portal. Cancellation stops future renewal and takes effect at the end of the current paid period; access continues until that date unless the subscription is refunded, disputed, suspended or otherwise terminated under these terms.

5. Seat changes and account credit

Added seats are charged through Stripe for the remaining subscription period. When paid seats are reduced, the unused value calculated by the service is recorded as GrokBackup Account Credit. Account Credit is automatically applied to eligible future subscription charges, cannot be transferred, withdrawn or redeemed for cash, and is not a card refund.

6. Refunds

The plans currently advertise a 30-day money-back guarantee for an initial purchase. A request must be sent to [email protected] within 30 calendar days after the initial payment. Approved refunds are returned through the original payment channel and may terminate the related paid license. Except for this guarantee, applicable law or an express written agreement, subscription charges and Account Credit are non-refundable.

7. License and activation

A license is limited to the paid or trial seat count and may use a license key, machine name, hardware identifier and activation records to enforce eligibility. You must not share a license key outside your organization, falsify device or account information, resell access without written permission, or circumvent license limits.

8. Customer responsibilities

You are responsible for your deployment, administrator credentials, Google Workspace authorization, storage, encryption, network security, backup schedules, retention, restore testing and legal basis for processing user data. You must comply with applicable law, your organizational policies and Google's applicable terms. You should maintain appropriate independent recovery and continuity procedures.

9. Suspension, warranty and liability

We may suspend online services or license access for non-payment, fraud, abuse, security risk or material breach. To the extent permitted by law, the website, API and software are provided "as is" without warranties, except for any warranty expressly confirmed in writing, and GrokBackup is not liable for indirect, incidental, special or consequential loss. Nothing in these terms excludes liability that applicable law does not allow to be excluded.

Privacy Policy

1. Scope

This policy covers personal information handled by the GrokBackup website, licensing API, customer portal, checkout, support and newsletter functions. It does not make GrokBackup the controller of Google Workspace backup content stored in a customer's self-hosted environment.

2. Information we collect

  • Account and contact information: name, email address, organization name, and any address or contact details you provide.
  • Subscription and transaction information: plan, seat count, subscription status, invoice and payment-provider identifiers, transaction amounts, Account Credit and renewal dates. Full card details are handled by Stripe rather than stored by GrokBackup.
  • License and device information: license key and status, hardware identifier, machine name, activation time and activation IP address.
  • Communications: contact-form subject and message, support correspondence, newsletter email address, subscription or verification email records, and unsubscribe requests.
  • Technical and security information: IP address, country code supplied by the network, browser or user-agent information, request route, request identifier, timestamps, error details, cookie preferences and security events.
Backup data: GrokBackup is designed so that Google Workspace backup content is stored in the customer's own on-premises or private-cloud environment. The licensing and customer-portal services do not receive that content during normal operation. Information that you intentionally attach or include in a support request is handled as support data.

3. Why we use information

We use this information to create and authenticate accounts, issue trials and licenses, validate subscription status, process and reconcile payments, generate invoices, send service and verification emails, answer support requests, maintain security and audit records, prevent fraud and abuse, comply with legal obligations, and send marketing messages where permitted.

4. Sharing

We do not sell personal information. We disclose only the information reasonably needed to providers that operate payment processing, email delivery, hosting and infrastructure, fraud prevention, CAPTCHA verification and connected Google services. We may also disclose information when required by law, to protect rights and security, or in connection with a business reorganization. The principal providers are identified under Service Providers.

5. Retention

Account, subscription, invoice and audit records are retained while needed to provide the service and meet tax, accounting, dispute, fraud-prevention and legal obligations. Contact and support records are retained while the request remains relevant. Temporary verification codes and one-time portal tokens expire after their configured validity period. Cookie preference records are kept for up to 180 days. Information is deleted or de-identified when it is no longer reasonably required.

6. Security and your choices

We use access controls, encrypted transport, restricted administrative access, session protection and logging intended to protect website data. No system is completely secure. You may unsubscribe from promotional email using the link in the message and may request access, correction or deletion by emailing [email protected]. Legal and operational exceptions may apply.

7. Business service and minors

GrokBackup is intended for organizations and administrators, not for children. We do not knowingly offer the website or product directly to children.

Cookie Policy

1. Cookies in use

  • Cookie preferences: grokbackup_cookie_preferences and local storage key grokbackup_cookie_preferences_v1 record the choices made in the website banner for up to 180 days.
  • Customer portal session: a necessary session cookie authenticates the signed-in user, supports CSRF protection and expires when the browser session ends.
  • Third-party security: Google reCAPTCHA on contact and checkout flows and Cloudflare Turnstile on newsletter flows may set or read cookies or similar identifiers under their own policies.

2. Analytics and marketing choices

The consent control reserves separate analytics and marketing choices. At the date shown above, saving either optional choice does not by itself load an analytics or advertising script. If those tools are introduced, they must be connected to the corresponding consent choice before use, and this policy will be updated.

3. Managing cookies

You can accept or reject optional categories in the cookie banner where it is displayed. You can also clear the preference record, local storage and session cookies in your browser. Blocking necessary session or security cookies can prevent the portal, checkout or forms from working.

Service Providers and External Links

1. Stripe

Stripe hosts checkout and processes subscription payments, promotions, renewals, refunds and disputes. Stripe receives the customer and transaction information needed for those functions. See the Stripe Privacy Policy.

2. Google

Google reCAPTCHA helps protect contact and checkout forms. See the Google Privacy Policy and Google Terms of Service. When a customer authorizes GrokBackup to access Google Workspace, that access is used to perform the backup and restore functions requested by the customer. Use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

3. Cloudflare

Cloudflare Turnstile helps identify automated or abusive newsletter submissions. See the Cloudflare Privacy Policy.

4. Infrastructure and email

Hosting, database, temporary-storage and configured SMTP providers process limited technical, account and message information on our behalf. The specific infrastructure or email provider may change, but access is limited to what is needed to operate, secure and support the service.

Links to third-party websites are provided for convenience. Those websites are operated under their own terms and privacy practices, and GrokBackup is not responsible for their content or availability.

GDPR and Privacy Rights

1. Controller and customer roles

GrokBackup generally acts as controller for information used to operate its website, accounts, licensing, billing, communications and support. A customer ordinarily acts as controller for Google Workspace data processed in its self-hosted GrokBackup deployment and is responsible for notices, instructions, access controls, retention and responses to its users.

2. Legal bases

Depending on the activity, processing is based on performance of a contract or pre-contract request, compliance with legal obligations, legitimate interests in operating and securing the service, or consent for optional communications and technologies where consent is required.

3. Your rights

Where the GDPR, UK GDPR or similar law applies, you may have rights to access, correct, delete, restrict or object to processing, receive portable data, and withdraw consent. These rights can be limited by applicable exemptions and by obligations to preserve billing, security, dispute or legal records.

4. International processing

Service providers may process information in countries outside your own. Where required, we use an applicable transfer mechanism and require service providers to protect personal information consistently with their contractual and legal obligations.

5. Requests and complaints

Send a privacy request to [email protected] and identify the email address associated with the service. We may need to verify your identity before responding. You may also lodge a complaint with the data-protection authority responsible for your location.
